The Senior Planner – E&I Planning & Contract is responsible for planning, service contract administration, material management, and cost control for electrical and instrumentation maintenance, shutdown, and turnaround activities within BFI. The position ensures quality-assured work planning, material and service readiness, effective maintenance execution, and compliance with safety and environmental requirements, while driving continuous improvement, cost optimisation, and equipment reliability. The position also acts as the assigned focal point for allocated E&I service contracts, guides and reviews the work of the E&I Planner, and supports effective management of E&I planning activities within SAP PM and MM.

Deliver quality-assured work order plans for maintenance, shutdown, and turnaround work on electrical and instrumentation equipment, including and not limited to switchgear, circuit breakers, transformers, electric motors (HV, MV, and LV), generators, control panels, VFDs, UPS, DCS, PLC, lighting systems, grounding and earthing, junction boxes, communication equipment, power monitoring and control, transmitters, sensors, flow meters, control valves, SIS, analysers, and detectors.

Own E&I service contract preparation, validation, and confirmation within the maintenance contracts portfolio.

Act as the assigned focal point for the allocated E&I service contracts and administer them within the agreed scope, rates, and terms.

Own purchase requisition to purchase order follow-through for E&I materials and services.

Own E&I material master data quality and cataloguing.

Own cost planning and cost tracking of E&I work orders, and deliver cost optimisation initiatives.

Own material issuance, return, and control for E&I work orders.

Maintain accurate equipment BOMs, maintenance plans, and task lists for E&I equipment in SAP PM.

Coordinate with BRE on scope, readiness, and performance.

Close work orders on time.

Drive SAP continuous improvement and UAT within the E&I planning scope.

Report planning, cost, and contract KPIs.

Guide and review the work of the E&I Planner.

Review maintenance notifications for accuracy, relevance, correct priority, and correct notification type.

Participate in Maintenance Coordination Meetings (MCM) to establish well-defined work scopes with maintenance, operations, and inspection teams.

Confirm that planned work is ready for scheduling and communicate readiness to the Scheduler.

Develop detailed work order plans covering operation sequence, man-hour estimates, materials, services, tools, permits, and HSE requirements. Attach essential documents such as P&IDs, single-line diagrams (SLDs), loop diagrams, cable schedules, 3D model copies, equipment data sheets, engineering drawings, and procedures.

Plan E&I workshop tasks, including and not limited to instrument bench calibration and testing, motor testing and rewind coordination, panel and control-system assembly and wiring, and cable testing.

Plan and manage all maintenance order types across their full life cycle, from notification review to technical completion and closure.

Provide basic planning for high-priority and emergency orders when the work extends into the following week, so that outstanding scope is captured in the weekly plan with materials, services, and manpower confirmed.

Maintain and monitor the E&I maintenance backlog and identify planning constraints requiring coordination or escalation.

Plan shutdown and turnaround work: scope collection, work pack development, material and service readiness, and support to scope freeze and change control.

Follow up execution of planned work and close work orders with complete technical history.

Act as the assigned focal point and hold day-to-day responsibility for the allocated service contract, administering it within the agreed scope, rates and terms, and escalating deviations to the Maintenance Sr. Manager.

Prepare service contract documents: scope of work, technical specifications, schedule of prices structure, evaluation criteria, and contract-specific HSE requirements, in line with the BFI contract document standard.

Maintain the complete contract file (contract, correspondence, approvals, variations, PRs, POs, invoices, performance records) as a full audit trail, and keep the maintenance contracts register current.

Coordinate contractor mobilisation and demobilisation against contract requirements.

Verify contractor timesheet and claim submissions against work performed and contract terms before acceptance.

Issue and update Purchase Orders to reflect correct scope, quantities, rates and validity.

Confirm completed services in SAP through Service Entry Sheets, supported by verified evidence.

Validate contractor invoices against the contract, the PO and confirmed service entries, and return non-compliant claims with documented reasons.

Track committed and actual expenditure against contract value and remaining ceiling, forecast spend and flag projected overruns.

Monitor contractor performance against the contract, and coordinate with BRE on work scope, contract requirements, resource mobilisation, and execution readiness.

Assess variation requests for technical justification and cost impact, prepare variation documentation in the required format, and route for approval.

Investigate invoice and claim disputes, document findings and drive resolution.

Monitor and report contract KPIs against agreed targets, and report contract status, cost position and open issues to the Maintenance Sr. Manager.

Track contract expiry and remaining value, trigger renewal or re-tender in time to avoid a service gap, capture lessons learned, and complete contract close-out and PO closure.

In-depth knowledge of electrical and instrumentation equipment used in ammonia and urea plants, refineries, petrochemical facilities, or similar process industries, including switchgear, circuit breakers, transformers, electric motors (HV, MV, and LV), generators, control panels, VFDs, UPS, DCS, PLC, lighting systems, grounding and earthing, junction boxes, communication equipment, power monitoring and control, transmitters, sensors, flow meters, control valves, SIS, analysers, and detectors.

Strong knowledge of electrical and instrumentation maintenance and reliability practices, including preventive, predictive, corrective and breakdown maintenance, condition monitoring, equipment criticality, failure analysis, maintenance optimisation, and reliability improvement.

Strong knowledge of maintenance planning and work management, including work identification, scope development, job planning, work-pack preparation, resource planning, material planning, estimation, prioritisation, and work-order readiness.

Proficiency in SAP PM and MM, including maintenance notifications and orders, order life cycle, maintenance plans, task lists, equipment and functional locations, BOMs, reservations, purchase requisitions, service entry sheets, and material master data.

Good knowledge of material master data governance, material identification, specification, standardisation, cataloguing, and material control procedures.

Working knowledge of Microsoft Power BI or equivalent data-analysis and visualisation tools for maintenance, reliability, cost, and performance analysis.
